We are seeking an Office & Tenant Coordinator in our Seattle office. The incumbent will be a highly skilled individual who possesses a positive attitude, exceptional organizational skills, and the ability to handle multiple projects at any given time.

Essential Duties and Responsibilities:

  • Maintaining office filing systems including receiving and keeping up-to-date files on all work orders from tenants, correspondence and lease files, and service contract files.

  • Greeting guests to the office, including some tenant interaction. Properly representing the Company as first contact at front desk.

  • Developing contact lists and maintain regional outlook contacts database inputting shared contact information from the region.

  • Maintaining corporate calendar and regional calendar. Includes coordination of regional tenant events.

  • Assisting in developing presentations with asset managers and SVP.

  • Act as emergency administrator for the office, including maintenance of the defibrillator agreements, emergency backpacks, monthly emergency checklists and maintaining resource forms.

  • Provide support to the Asset Services team, including, but not limited to coordination of meetings, events, expense reports, and tenant requests.

  • Responsible for the Angus close out of both tenant requests and PM work orders.

  • Responsible for maintaining tenant contact lists in Angus.

  • Match tenant requests with tenant direct billing invoices.

  • Follow up with tenants to ensure satisfaction with tenant work requests.

  • Responsible for maintaining property binders and tenant files.

  • Responsible for drafting and sending bulletins and email blasts to tenants.

  • Responsible for maintaining the Tenant Manual for the site.

  • Assist in planning tenant events (i.e. Summer BBQ, concerts, charity events, holiday refreshments etc.).

  • Answering telephones at all times during business hours.

  • Coordinating all catering needs, ordering food for lunches, meetings, birthdays, etc.

  • Ordering all office supplies

  • Manage office supply vendors for ARE office and multi-tenant conference rooms.

  • Distributing all mail/packages daily and coordinating all outgoing mail needs including preparing FedEx packages.

  • Maintaining cleanliness and organization of the office.

  • Coordinating conference room scheduling for multi-tenant conference rooms.

  • Coordinate conference room use for select tenants and outside companies.

  • Document reproduction of all types.

  • Prepare expense reports and coordinate meetings and Outlook calendar for select staff members.

  • Scheduling including whole office meetings and trainings, and outside meetings for select staff members

  • Coordinate team events including office retreats, holiday parties, and team building.

  • Special projects/assignments as needed.

​Qualifications and Experience:

  • Bachelor's degree required

  • 1-2 years of relevant office experience preferred

  • Working knowledge in the field of property management and/or real estate desirable

  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) a must

  • Experience in Angus and JDE a plus

  • Client service oriented attitude a must

  • Excellent verbal and written communication skills

  • Desire to pursue career in commercial real estate industry a plus
